# Property management has become an attention economy

Every property manager knows the feeling.

You start the morning reviewing financial reports before an owner meeting. Minutes later, a maintenance emergency demands immediate attention. A resident calls with a lease concern. A vendor needs approval for a repair. An inspection report lands in your inbox, followed by a compliance reminder and another maintenance request. By the afternoon, you've solved dozens of problems, but the strategic work you planned to tackle is still waiting.

This has become the reality of modern property management.

For years, the industry's biggest operational challenges were framed around staffing, occupancy, and efficiency. Those priorities remain important, but another challenge has quietly emerged beneath them. As portfolios grow, resident expectations evolve, regulations become more complex, and technology accelerates the pace of communication, the most constrained resource in property management is no longer time alone; it's attention.

This shift matters because property management has become significantly more complex than it was even a decade ago. Today's residents expect digital convenience, timely communication, and seamless service throughout their rental experience. According to [AppFolio's 2025 Renter Preferences Report](https://www.appfolio.com/newsroom/2025-renter-preferences-report), residents who are satisfied with their property manager are 73% more likely to plan to renew their lease, reinforcing the direct relationship between operational execution and business performance.

The challenge is that exceptional resident experiences aren't created by faster software alone. They're created by managers making hundreds of sound decisions every day while navigating a constant stream of interruptions.

### Complexity is growing faster than portfolios

When property managers describe their workload, they often say they have "too much to do." But volume is only part of the story.

That's changed is the complexity of the work.

Managing a larger portfolio doesn't simply mean handling more maintenance requests or processing additional lease renewals. It means coordinating more vendors, responding across more communication channels, balancing increasingly detailed compliance requirements, interpreting larger volumes of operational data, and meeting higher expectations from both residents and property owners.

At the same time, economic pressures continue to reshape the industry. The National Apartment Association highlighted findings from the [2025 AppFolio Property Management Benchmark Report](https://www.appfolio.com/blog/post-2025-benchmark-report) showing that concerns around occupancy, insurance costs, regulations, and maintaining net operating income have increased, while AI adoption and digital transformation continue to accelerate across the industry.

Technology has undoubtedly improved many aspects of property management. Information is easier to access, routine processes are faster, and communication happens almost instantly. Yet every new platform, notification, message, dashboard, and workflow also competes for something far less scalable than software: A property manager's attention.

The result is an operational environment where success depends less on completing individual tasks and more on continuously deciding what deserves attention next.

That distinction changes how we should think about productivity.

Being busy has never been difficult in property management. Staying focused on the decisions that create the greatest value has become the real challenge.

### The hidden cost of context switching

If operational complexity is the new reality of property management, then context switching is one of its highest hidden costs.

A typical workday rarely follows a linear path. A property manager may begin reviewing owner financials before being pulled into a maintenance emergency, a resident call, a vendor request, and a compliance notification. Returning to the original task isn't as simple as reopening the document; it requires rebuilding the mental context needed to make informed decisions.

Organizational behavior researcher Dr. Sophie Leroy describes this phenomenon as [attention residue](https://www.sciencedirect.com/science/article/abs/pii/S0749597809000399): when people switch tasks before mentally disengaging from the previous one, part of their attention remains behind, making it harder to fully focus on what's next. Over time, frequent context switching can reduce cognitive performance and decision quality.

For property managers, this is more than a productivity challenge; it's an operational one. Evaluating financial performance, strengthening owner relationships, resolving resident concerns, and identifying risks all require sustained attention, not constant interruption.

The issue isn't that maintenance requests, resident inquiries, or compliance deadlines aren't important. It's that they continually compete for the same limited pool of managerial attention.

As portfolios become more complex and resident expectations continue to evolve, the industry's competitive advantage won't come from simply helping property managers work faster. It will come from designing operations that allow them to focus on the decisions that create the greatest value. In an industry built on relationships, judgment, and trust, protecting managerial attention may prove to be one of the most important investments a property management organization can make.
